MAQ Rental Room & Coworking Space Terms of Use

Mikura Corporation (hereinafter referred to as “the Company”) hereby establishes the following Terms of Use (hereinafter referred to as “these Terms”) regarding the use of “MAQ Rental Room & Coworking Space” (hereinafter referred to as “the Facility” or “the Service.” This includes any future changes to the name or content of the Facility or Service, regardless of the reason).

Applicants for the use of the Facility (hereinafter referred to as “Applicants”), individuals related to Applicants (hereinafter referred to as “Applicant Affiliates”), and participants in events hosted by Applicants (hereinafter referred to as “Participants”; collectively, “Users”) are required to comply with these Terms.

Fees and Payment Methods

  1. The usage fee shall be the amount displayed at the time of reservation or the amount communicated by the Company.
  2. Usage fees are subject to change without prior notice depending on the time of use, reservation timing, and congestion levels.
  3. Generally, payment must be made in advance (by the due date designated by the Company). For long‑term usage over multiple months, payment shall be made monthly in advance.
  4. Payments may be made by online credit card or bank transfer. Bank transfer fees shall be borne by the Applicant.
  5. If post‑payment becomes necessary due to unreserved use, unauthorized extension, facility damage, or similar circumstances, fees will be calculated based on the rates listed on the facility’s reservation website (https://maq-tokyo.com/price/). Payment shall be made by bank transfer, and transfer fees shall be borne by the Applicant.
  6. Due to system limitations, after the Applicant completes the reservation procedure, a certain amount of time may be required before the reservation is reflected in the reservation system. If overlapping reservations occur, the earliest application shall take priority. 
  7. Reservations shall be deemed confirmed when the “Reservation Confirmation Email” or an equivalent notice is sent. Upon confirmation, a Usage Agreement incorporating these Terms is deemed to be established between the Applicant and the Company.
  8. The handling of User personal information shall be governed by the Company’s Privacy Policy (https://maq-tokyo.com/privacy-policy/). Users are deemed to agree to the Privacy Policy.
  9. Use of the Service does not grant Users any leasehold rights to the rented portion of the Facility.

Cancellation Methods & Cancellation Fees

  1. Reservation cancellations or changes are accepted only via telephone or email. Response hours are weekdays from 9:00 to 19:00. Requests made outside these hours will be treated as received on the next business day, and cancellation fees may apply based on that timing.
  2. Cancellation fees are as follows. These rules apply even in cases of force majeure, such as severe weather or transportation disruptions:
    • (1)Until 19:00 on the day before the reserved date: No charge
    • (2)Cancellation on the day of use: 100% fee
  1. Once a reservation is confirmed, cancellation fees may apply.
  2. If payment is not received by the specified due date, the Company may refuse the use of the Facility.
  3. Cancellation fees are calculated based on the tax‑inclusive amount.
  4. For cancellations made at the User’s convenience, any bank transfer or other refund processing fees shall be borne by the Applicant.

Late Fees, Damages for Delay, and Unauthorized Extensions

  1. If payment is not made by the specified date, the User shall pay the usage fee plus a late interest charge calculated at 14.6% per annum.
  2. Users must strictly observe entry and exit times. If the User remains in the Facility beyond the reserved time and fails to respond to our contact, such conduct may be treated as trespassing, and security camera footage may be provided to the police. Security cameras are used solely for operation, management, and security, and the User consents to their operation.

Usage Restrictions & Prohibited Conduct

If any of the following apply, the Company may, at its discretion, restrict usage, revoke approval, or terminate the User’s use of the Facility. In such cases, the User must immediately vacate the Facility and restore it to its original condition at their own expense. The Company shall not be liable for any resulting damages, nor will refunds be issued. Future reservations may also be refused. Prohibited or Restricted Cases

  1. If information provided at the time of application (name, organization, address, contact info, purpose of use, number of participants, etc.) is found to be false, or if the Applicant cannot be reached.
  2. If the User is found to have sublet the Facility to a third party without permission.
  3. If the User is associated with political or religious organizations, criminal organizations, antisocial forces, or similar groups, or if the User intends to use the Facility for activities that may involve illegal conduct, unclear business purposes, or events supported by such groups.
  4. If the User engages in modifications or activities that may interfere with fire‑prevention or safety equipment.
  5. If the content of use is deemed adult‑related or contrary to public order and morals.
  6. If the Company determines that the User may disturb other Users, neighbors, or related parties.
  7. If the User violates any applicable laws or government instructions.
  8. If the User makes violent demands or unreasonable requests of Facility staff or Company employees.
  9. If the User brings fire‑hazardous materials or dangerous items into the Facility, or damages the building or equipment.
  10. If noise, vibration, odors, or similar disturbances occur or may occur.
  11. If animals are brought into the Facility, except for guide dogs, service dogs, or hearing dogs.
  12. If a major earthquake warning is issued under Japanese law.
  13. If the Facility or its surroundings are left in an unsanitary condition, such as improper garbage disposal.
  14. If vehicles (cars or motorcycles) are parked illegally or irresponsibly near the Facility.
  15. If the Company determines that drinking, eating, or smoking in the Facility is disturbing others.
  16. If the User engages in disruptive behavior (e.g., shouting, loud music, leaving room doors open).
  17. If minors (under 18) attempt to use the Facility without adult supervision.
  18. If the User has a history of delayed payments.
  19. Any other conduct deemed inappropriate in light of the purpose of the Facility.

Liability

  1. Users must manage their belongings and valuables with great care. The Company shall not be liable for theft or loss.
  2. Users must handle all structures, equipment, and fixtures within the Facility with due care as a prudent manager.
  3. If the User damages, stains, or loses any structure, equipment, or fixture, or causes damage to a third party, the User shall compensate the Company or the third party for all resulting losses. If the damage results in the Facility becoming unusable, the User shall also bear the actual cost of repairs and the lost profits based on usage fees.
  4. Desks, chairs, whiteboards, power outlets, Wi‑Fi, toilets, and other amenities are provided free of charge. Refunds will not be issued even if these amenities malfunction.
  5. If the Facility cannot be used due to reasons attributable to the Company, compensation shall be limited to the usage fee paid for that reservation, and the Company shall not be liable for any lost profits.
  6. The Facility name may be changed without prior notice. The Company bears no liability for damages resulting from such changes.
  7. The Applicant shall be responsible for any accidents occurring before, during, or after the use of the Facility.
  8. The Company shall not be liable for damages arising from earthquakes, disasters, severe weather, transportation disruptions, government orders, or any other force majeure outside the Company’s control.
  9. In the event of a violation of these Terms, the User shall pay a penalty of 30,000 yen. Serious violations such as smoking inside the Facility or unreserved use shall incur a penalty of 50,000 yen per incident.
  10. The Applicant bears full responsibility for the safe use and management of the rented area, structures, and fixtures during the usage period, including confirming safety for all participants.
  11. In the event of a fire, the Applicant must immediately lead all Users to safety and contact 119 as well as notify the Company.
  12. If structures or fixtures are damaged, stolen, lost, or stained—even by Applicant Affiliates or Participants—the Applicant shall compensate the Company for all damages.
  13. These Terms and the use of the Facility shall be governed by the laws of Japan. Any disputes shall be subject to the exclusive jurisdiction of the Tokyo District Court as the court of first instance.

Pre‑Use Requirements

  1. Applications must comply with the Facility’s maximum capacity. Use beyond capacity is not permitted.
  2. Depending on the intended use or nature of the event, the Company may deny reservations.
  3. The reservation form must include the information of the on‑site responsible person for the day of use.
  4. Applicants must maintain a record of the names and contact information of all Users.
  5. The Applicant must check emergency exits, evacuation routes, and fire‑fighting equipment in advance.
  6. If government permits or notifications are required, the Applicant must complete them before the deadline and retain copies for inspection. Government officials may conduct inspections on the day of use.
  7. When eating or drinking inside the Facility, Users must ventilate the area to prevent lingering odors. Strong‑smelling foods are prohibited.
  8. Smoking (including e‑cigarettes) is strictly prohibited both inside and outside the Facility. Drinking alcohol is generally prohibited, but moderate consumption may be permitted for pre‑approved events (e.g., tasting sessions, networking events). Drunken behavior or conduct disturbing others may result in immediate eviction.
  9. Fire or hazardous materials are prohibited.
  10. It is prohibited to attach tape, nails, tacks, posters, signs, or flags to walls, ceilings, or floors. Violations incur a 50,000 yen penalty plus repair costs.
  11. Bringing large or heavy equipment, or specialized items, requires prior consultation. Unauthorized items may not be brought in.
  12. The Facility cannot be used as a shipping address, nor may it be listed as a contact address.
  13. Conversing, gathering, or lingering in groups of two or more is prohibited in the building’s shared areas, entrance, or surrounding roads. Waiting, chatting, solicitation, or smoking near the entrance or sidewalks is strictly prohibited. Violations may result in suspension or contract termination.
  14. Filming areas outside the Facility’s shared spaces (e.g., offices or residences of third parties) without permission is prohibited.
  15. The Applicant may not transfer or sublease rights or obligations under the Usage Agreement without the Company’s approval.

Usage Rules

  1. The Facility is provided “as‑is.”
  2. Users may enter the Facility only after the start time. Early entry for preparation is not permitted.
  3. Users must vacate the Facility by the end of the reserved time. Leaving items or failing to restore the room will be treated as continued use.
  4. After use, Users must restore furniture and equipment to their original layout.
  5. Lost-and-found items may be collected in person or shipped cash‑on‑delivery. Unclaimed items will be stored for 7 days and then disposed of.
  6. Same‑day reservation changes are limited to extensions only. Shortening or changing times is not permitted.
  7. Chairs and equipment may not be removed from the meeting room.

Amendments to These Terms

  1. The Company may revise these Terms under the following circumstances. Users are deemed to consent to the revised Terms if they continue using the Service after the effective date or fail to cancel within the designated period:
    • (1)The revision benefits Users.
    • (2)The revision is reasonable and does not contradict the purpose of the Usage Agreement, considering necessity, appropriateness, and related factors.
  1. The Company may modify or discontinue the Service. Except in unavoidable cases, advance notice will be posted on the official website (https://maq-tokyo.com/).
  2. If any provision of these Terms is deemed invalid or unenforceable, the remaining provisions shall remain in full force.
